So what’s the role all about?
We are looking for a Planned Works Coordinator on a 3 month fixed term contract to provide administrative support to the Planned Works team ensuring PA deliver excellent services to residents. This role will assist the team in liaising and supporting our customers, alongside our service providers for all planned and major works carried out through our Asset team in and around our customers’ homes.
This role can offer hybrid working, meaning you will be required to be in the office for around 2/3 days a week with the rest being from home, however we may need you to be in the office more within your probation, whilst you get up to speed.
Some of the key tasks and responsibilities include:
- Support the Senior Project Manager and colleagues within Asset Services as and when required.
- Maintain and update the asset data on keystone, project spreadsheets and documentation.
- Book and maintain appointments for the surveyors, using Foundation to schedule jobs where appropriate.
- Meeting and diary management for the Planned Works team.
- Provide administrative support in meetings to take and distribute minutes.
- Process purchase order requests ready for authorising.
- Respond to telephone/email/written enquiries, projecting a positive image of PA Housing by providing an excellent level of customer service to the services’ internal and external customers.
- Retrieve voicemails and pass on accurate messages to appropriate team members.
- Assist the Planned Works team in the production and sending of tenant and leaseholder letters.
To be successful in this role, we’d be looking for the following…
- Experience of dealing with people and excellent customer service skills.
- Strong administrative experience.
- Intermediate level microsoft word including mail merge, excel and outlook
- Excellent communication skills.
- Good written English.
